Privacy Policy

How Apertotek Consulting LLP collects, uses, stores and protects personal data from visitors to apertotek.com and users of Apertotek products.

Last updated: 27 October 2026

1. Who we are

This website, www.apertotek.com, is run by Apertotek Consulting LLP, a limited liability partnership registered in India ("Apertotek", "we", "us"). We decide how the personal data described here is used, so we are responsible for it.

This policy explains what we collect when you visit the site, contact us, sign up for our newsletter or ask for a demo, and what we do with it. Our products (5S Pro, AuditAum, CLApp, NewsletterAI, inXSPECTo, CoworxSys, mymf and others) may have their own privacy notices that describe the data handled inside each product. Where a product notice exists, it applies alongside this one.

Questions about this policy or your data can be sent to connect@apertotek.com.

2. What we collect

Information you give us. When you fill in the contact or request-a-demo form, we receive your name, email address and message, and any phone number, company name, subject or product interest you choose to add. When you subscribe to our newsletter, we receive your email address. If you email us or book a meeting, we receive whatever you include.

Information collected automatically. Like any web server, ours receives your IP address, browser type and the page you asked for. We use the IP address and email address on form submissions to block spam and abuse, for example by limiting how many times a form can be sent in a short period.

Analytics, only with your consent. If you click "Accept All" on our cookie banner, Google Analytics sets cookies that tell us which pages are visited, how people arrive at the site and roughly where they are. If you click "Reject All", or make no choice, analytics storage stays switched off. Your choice is saved in your browser's local storage so we don't ask again on every page.

We do not ask for, and do not want, sensitive information such as health, financial account, religious or biometric details through this website. The site is meant for businesses and professionals and is not directed at children.

3. How we use it

We use your information to:

  • reply to your enquiry, arrange a demo or meeting, and send you a short acknowledgement that we received your message;
  • send you our newsletter, if you subscribed and confirmed your subscription;
  • follow up about our products and services after you have contacted us, which you can ask us to stop at any time;
  • keep the site and its forms secure and free of spam;
  • understand how the site is used so we can improve it, if you accepted analytics cookies; and
  • meet legal, tax or accounting obligations, and protect our rights if a dispute arises.

We rely on your consent for the newsletter and analytics, and on our legitimate interest in answering enquiries and running a secure website for the rest. You can withdraw consent at any time without affecting anything we did before you withdrew it.

4. AI and automated tools

We use, or may use, AI tools and automated assistants ("AI agents") to help us handle enquiries and leads. For example, they may:

  • read and sort incoming enquiries and route them to the right person;
  • look up publicly available information about your company to help us understand your needs;
  • draft replies, follow-up emails and meeting summaries; and
  • suggest which enquiries to prioritise.

These tools only work with the information described in section 2 and publicly available business information. They do not make decisions that have legal or similarly significant effects on you. A member of our team reviews what matters, such as proposals, pricing and commitments. If an AI agent sends you an email, it will come from our address, tell you how to stop further emails, and you can ask to deal with a person at any time.

We use AI providers that do not use the data we send them to train their models, and we send them no more information than the task needs. If you would rather your enquiry was not processed by AI tools at all, tell us when you contact us and we will handle it manually.

5. Who we share it with

We do not sell your personal data, and we do not share it with other companies for their own marketing.

We use a small number of service providers who handle data for us under their own security and privacy commitments:

  • Vercel hosts this website.
  • Zoho Mail delivers form submissions to our inbox and sends acknowledgement emails.
  • Mailchimp (Intuit) stores newsletter subscribers and sends the newsletter.
  • Google Analytics measures site usage, only with your consent.
  • Cloudflare Turnstile and Upstash may be used to tell people from bots and to rate-limit form submissions.
  • Calendly handles meeting bookings when you use our "Schedule a meeting" link, under Calendly's own privacy policy.
  • AI model providers, such as Anthropic, OpenAI or Google, process enquiry data on our behalf when we use the AI tools described in section 4.

Some of these providers store data outside India, including in the United States and the European Union. When that happens, we rely on the provider's contractual and security safeguards.

We may also disclose information when the law requires it, to protect people or our rights, or to a buyer or successor if our business is reorganised or sold, in which case this policy continues to apply to your data.

6. How long we keep it

We keep enquiry emails and form submissions for as long as we have a business relationship or a reasonable prospect of one, and then delete them, unless we need to keep them longer for legal or accounting reasons. Newsletter subscribers stay on the list until they unsubscribe. Records used for spam protection expire automatically, typically within a day. Google Analytics data is kept for the retention period set in our Analytics account.

7. Your rights

Depending on where you live, including under India's Digital Personal Data Protection Act, 2023 and the EU and UK GDPR, you can:

  • ask what personal data we hold about you and get a copy;
  • ask us to correct data that is wrong or incomplete;
  • ask us to delete your data;
  • withdraw consent you have given, for example for the newsletter or analytics;
  • object to, or ask us to restrict, how we use your data;
  • ask for a person, rather than an automated tool, to handle your enquiry; and
  • nominate another person to exercise these rights for you if you are unable to.

To use any of these rights, email connect@apertotek.com. We may ask you to confirm your identity before acting on a request. We aim to respond within 30 days and will not charge you or treat you differently for asking.

You can unsubscribe from the newsletter at any time using the link at the bottom of every email. You can change your cookie choice by clearing this site's data in your browser, which brings the banner back.

If you are not satisfied with our response, you may complain to the data protection authority in your country. In India, that is the Data Protection Board of India.

8. Security

Data travels between your browser and this site over an encrypted (HTTPS) connection. Access to our inboxes and service accounts is limited to the people who need it. No system is perfectly secure, but if we become aware of a breach that affects your personal data, we will notify you and the relevant authorities where the law requires it.

This site links to other websites, including our product sites and social media pages. Those sites have their own privacy practices, which this policy does not cover.

10. Changes to this policy

We may update this policy when our practices or the law change. We will post the new version on this page and change the "Last updated" date at the top. If a change materially affects how we use data you have already given us, we will tell you by email where we can.
